You trust us with the most intimate moments a family has. This page explains, in plain language, what information we hold, how we protect it, and the choices you have.

What we collect

When you inquire or book with us we collect your name, email, phone number, due date or session date, and anything you choose to tell us about your family and birth plans.

When we photograph or support your birth, maternity, newborn, or family session, we create photographs and video of you and your children. These are the most personal things we hold, and everything below is built around protecting them.

Payments are processed by Stripe; we never see or store your full card number. Emails we send you are delivered through our email providers. Signing in to the client portal uses a session stored in your own browser.

How your photos are stored

All client photos live in private storage. There are no public links: every image is served through a short-lived, expiring signed link that is generated only after the portal checks that you are allowed to see that gallery.

Client galleries, share links, and the portal are excluded from search engines. Gallery share links use long random tokens, can expire, and can require a PIN.

Location metadata: photos uploaded to our system from September 2026 onward have embedded GPS coordinates and camera serial numbers removed automatically before they are stored, and copies delivered to you carry no camera metadata at all. Photos uploaded before then may retain the metadata your camera wrote; we can strip a specific gallery on request.

Studio team accounts that can open galleries are protected with two-step verification.

Who can see your gallery

You, people you share your gallery link with (optionally protected by a PIN you control), and the YourCherish team members who work on your gallery — your photographer, editor, and studio staff. Access to original and unedited files is further restricted within the team.

We never publish your photos publicly — on our portfolio, social media, or anywhere else — without your separate written consent. Publishing is technically blocked in our systems until a signed release is on file for your gallery, and you can decline or withdraw consent at any time without affecting your services.

How long we keep things

Your final edited photos are kept indefinitely, so you never lose what you paid for.

Working files are cleaned up on a schedule: watermarked proofs and thumbnails are deleted 12 months after a gallery is archived, and unedited RAW files are deleted after 25 months.

Inquiry and booking records are kept as long as needed for our business and legal obligations (for example, contracts and payment records).

Deleting your data

Email love@yourcherish.com from the address on your account and tell us what you would like removed — specific photos, a whole gallery, or your personal information. We complete deletion requests within 30 days and confirm when it is done.

Some records must be retained even after a deletion request where the law or an active contract requires it (for example, signed contracts, invoices, and payment records). We will tell you if that applies.

Security and New York law

We maintain reasonable administrative, technical, and physical safeguards for private information as required by the New York SHIELD Act, including encryption in transit and at rest, role-based access controls, activity logging on gallery access and downloads, and two-step verification on studio accounts.

If a breach of security affecting your private information ever occurs, we will notify you and the appropriate authorities as required by New York law.

Children

Much of our work is photographing newborns and children, with their parent or guardian as our client. We collect information about your children only from you, use it only to provide our services, and never publish their images without your written consent.
